Wedding Day Timeline Template for a 4 PM Ceremony: Hour by Hour, With the Gaps Nobody Plans For
A wedding day timeline is not a schedule of the nice moments. It is a list of every hand-off: the moment the florist leaves and the photographer arrives, the moment the ceremony ends and 120 people need to be somewhere else. Most days run late not because something big goes wrong but because the timeline had no room for the small things — the shuttle that takes 25 minutes instead of 15, the family photo list with 14 groupings on it, the speeches that were “five minutes each”.
Below is a template for a 4 pm ceremony with the reception in the same venue. Shift the whole thing earlier or later; keep the gaps.

Buffer time: the gaps that make the day run late
Travel. If the ceremony and reception are in different places, take the Google Maps estimate, add 50%, then add the time it takes 120 people to get into cars. A 15-minute drive is a 45-minute block.
Hair and make-up. The most common source of a late ceremony. Multiply the number of people by the stylist's real time per person, add 30 minutes, and put the bride last so she is not sitting in finished make-up for three hours.
Family photos. Fourteen groupings takes 45 minutes and leaves the cocktail hour without the couple. Cut to eight, print the list, and give it to a relative who knows everyone's name and is not shy.
Speeches. Nobody speaks for five minutes. Ask for three, plan for seven, put them between courses so the kitchen has a fixed window.
Sunset. Look up the exact time for the date and venue. If the best light is at 19:50, the DJ needs to know that the couple disappears for ten minutes then.
Who gets which version
Make three versions from the same master. Vendors get the full timeline with arrival, set-up and pack-down times and a phone number for the day-of contact (not the couple). Wedding party and family get a version that starts at hair and make-up and ends at the send-off, with where to be and when. Guests get four lines on the programme or website: ceremony, cocktails, dinner, last dance. Send the vendor version a week ahead and ask each vendor to confirm their arrival time in writing.

Two rules that save the day
Start the ceremony on time. Guests who are late are late; guests who were on time and waited 40 minutes remember it. And name one person — planner, coordinator, a capable friend — whose phone number is on the vendor timeline instead of yours. On the day, the couple should not know that the cake arrived without the stand.
